Front Desk Receptionist – Richmond Office
Harman Claytor Corrigan & Wellman is seeking a highly organized, detail-oriented, and personable Front Desk Receptionist to join our Richmond office. The Front Desk Receptionist serves as the first point of contact for clients, visitors, and callers at a busy civil litigation law firm. This role is responsible for creating a professional and welcoming environment, managing the flow of communication, and providing support to Attorneys, Staff, Firm Administrator, and other Admins in the office. The ideal candidate will have the ability to multitask and be able to handle sensitive information with discretion.
Key Responsibilities:
- Greet clients and visitors in a professional and courteous manner.
- Answer and route incoming phone calls; take accurate messages as needed.
- Manage reception area and conference rooms, maintaining a tidy, professional appearance.
- Schedule and coordinate appointments, client meetings, visitor logistics and conference room reservations.
- Download and retrieve medical records securely from record management platform, ensuring accuracy, confidentiality, and proper documentation.
- Receive, sort, and distribute incoming mail, faxes, and deliveries; prepare outgoing mail and FedEx/UPS packages.
- Assist with scanning, filing, copying, and data entry.
- Maintain office supplies inventory and place orders as needed.
- Place service calls for equipment and building maintenance.
- Participate in special projects and other duties as assigned.
- Ensure confidentiality and compliance with firm policies and legal industry standards.
Qualifications:
- College or associate degree preferred, administrative coursework or training a plus.
- Previous experience in a law firm or professional office environment is strongly preferred.
- Strong communication and interpersonal skills with a client-service mindset.
- Proficiency with Microsoft Office Suite (Word, Outlook, Excel); familiarity with legal software a plus.
- Excellent organizational skills with attention to detail.
- Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
- Professional demeanor, punctuality, and reliability required.
Work Environment:
- Full-time, in-office, Monday – Friday, 8:30am – 5:00pm.
- Professional business attire required.
- Front-facing role with frequent interaction with clients, attorneys, and staff.
